SMS, AI AND AUTOMATION

INTRODUCTORY INFORMATION

This document sets out the rules for the processing of personal data in connection with the use by NORDIN Sp. z o.o. of solutions based on automation, artificial intelligence (AI), chatbots, voicebots, and automated communication, including via SMS.

This document constitutes a supplement to the Privacy Policy (MASTER) and should be read jointly with the master document.

This entity acts solely as a data processor, on the basis of a personal data processing agreement and exclusively on documented instructions from the Controller.


SCOPE OF APPLICATION OF THIS DOCUMENT

This policy applies to personal data processed in connection with:

the use of chatbots and voicebots,

automated handling of inquiries and contacts,

automated SMS and e-mail communication,

initial pre-selection of candidates,

automation of operational and recruitment processes.


CHATBOTS

Chatbots used by NORDIN enable, in particular:

providing information about services and offers,

collecting contact and recruitment-related data,

directing inquiries to the appropriate teams,

handling forms and submissions.

Data provided via chatbots are processed in accordance with this policy and the Privacy Policy (MASTER).


VOICEBOTS

Voicebots used by NORDIN may:

receive incoming calls,

make outgoing calls,

collect recruitment and contact information,

schedule interviews and meetings,

provide operational information.

Voicebots do not make final recruitment or legal decisions.
Each process is supervised and verified by a human.


PROCESS AUTOMATION AND AI

NORDIN uses tools based on artificial intelligence (AI) and automation in order to:

improve communication,

organize and analyze data,

conduct initial pre-selection of candidates,

optimize operational processes.

Automation:

does not lead to decisions producing legal effects without human involvement,

does not result in the automatic rejection of a candidate,

does not constitute solely automated decision-making within the meaning of Article 22 of the GDPR.


AUTOMATED COMMUNICATION (SMS AND E-MAIL)

As part of automation, NORDIN may use:

automated SMS messages,

e-mail sequences,

system reminders and notifications.

Such communication may be:

operational (e.g. recruitment status, interview dates),

informational,

marketing-related (only after obtaining separate consent).


WITHDRAWAL FROM COMMUNICATION (UNSUBSCRIBE)

Each e-mail message sent by NORDIN includes the option to unsubscribe from further communication, which can be used at any stage.

In addition, the data subject may at any time request the withdrawal of consent or cessation of communication by sending an e-mail to:

Such a request will be fulfilled without undue delay.


SMS COMMUNICATION OPT-OUT (STOP / HELP)

At any time it is possible to:

stop further SMS communication by sending a message with the content STOP,

obtain information or request assistance by sending a message with the content HELP.

These instructions are available to the recipient in the content of the SMS message or upon request.


PROTECTION OF SMS MESSAGE CONTENT

The content of SMS messages sent by NORDIN, both as part of operational and marketing communication, is not shared, sold, or transferred to any third parties.

Access to the content of SMS messages is granted exclusively to:

authorized employees and collaborators of NORDIN,

IT systems used to carry out communication, operating on the basis of data processing agreements.

SMS message content is used solely for the purpose of communicating with the recipient and is not used for any other purposes unrelated to NORDIN’s activities.


PROFILING

Profiling may be applied to a limited extent, consisting of an initial analysis of information provided by the user (e.g. professional experience, availability).

Profiling:

is of a supportive nature,

does not produce legal effects,

does not lead to automated decisions without human involvement.


DATA RETENTION PERIOD

Personal data processed within the scope of automation are retained:

in accordance with the rules set out in the Privacy Policy (MASTER),

for a maximum of 36 months,

until consent is withdrawn,

or for the period required by law,

or in accordance with all detailed NORDIN privacy policies.


RIGHTS OF DATA SUBJECTS

Individuals using automated solutions are entitled to all rights arising from the GDPR, in particular the right to:

obtain information about data processing,

access their data,

rectify or erase data,

restrict processing,

object to processing,

withdraw consent.

CHANGES TO THE PRIVACY POLICY

The Controller reserves the right to introduce changes to this Privacy Policy.
The current version of the document is always available on the websites owned by NORDIN.


FINAL PROVISIONS

NORDIN uses modern technologies in the field of automation and artificial intelligence, while maintaining the principles of personal data protection, transparency, and compliance with applicable laws and regulations.

NORDIN reserves the right to update this document in the event of changes to applicable legal regulations or changes in the manner in which its websites operate.
